For a long time, we had been thinking how to improve and modernise our services to meet the needs of a modern business person. We came to a conclusion that the right step forward for us as well as for you would be the creation of an online Client Zone to provide our clients with a perfect track of their real-time accounting. We worked hard on its creation and we are glad that we can now present the result to you.
Our main goal is very simple. We would like accounting not to be a burden for you, but for you to get the most out of it. Accounting has never been primarily aimed for the purposes of tax authorities, but for the business person’s needs. You can save a large amount of time using the Client Zone and invest the time into further business development, your family or your hobbies.
All your companies are displayed right at the main page. You can choose the company whose accounting data you would like to browse by just one click.
If you want to compare your results in two or three different years (e.g. this and last year), the graph will make it for you. Identify strong and weak periods and compare profit/loss month by month in the chosen period of years.
Month-to-Month Costs and Revenue Overview
Simple, clear and useful. Analyse your costs or revenues month by month and compare them with previous years. You will identify string months and can optimise your costs. Naturally, there is also export into CSV and XLS formats available.
Month-to-Month Payables and Receivables Overview
This function is a great way to gain a quick overview what your company is spending the most money on and what you have biggest profits from on the other hand. There is of course a year-to-year monthly data comparison.
Payables with Sums Overview
aMusevity Client Zone enables you to filter single payables based on the type of document, contractor, due date or full-text search.
A great advantage valued by many clients is the practical due date filter. You can set an exact time period which you would like to display documents within in just a few clicks. A hint for you: choose a ‘this week’ date filter and you immediately know the amount of receivables you are expected to pay soon.
You can display document detail with each document. It contains: a QR code for payment, an option to mark the document as paid, an option to chat online with the accountant, basic document data, document or invoice scan and an overview of realised payments.
Payment Overview with each Document
You can see a payment overview regarding each document. In case of long-term debt such as loans, you can see all the principal payments displayed here.
Option to Generate Batch Payment
You can now generate a batch payment for the bank directly in the aMusevity Client Zone.
Option to Create a Compact Payment of more Invoices from the same Contractor
In case you need to pay more invoices to a single contractor, our Client Zone will offer you an option to join the payments into a single compact payment. You will save your time as well as bank fees. aMusevity Client Zone sends an email to the contractor (to an email address added by you) with a PDF or CSV report (also based on your choice) right after the payment has been made. Thanks to this clear report, it never happens that your contractor pairs the payment with a different document than the one you were meaning to pay.
Option to Mark a Document as Paid
The system offers a possibility to mark a document as paid – either with a full or a partial amount. The client can therefore track their current payables regardless of when we receive a bank-account statement for processing.
You can find the name of the accountant responsible for the document along with the option to ‘start a chat’. You can communicate immediately and within each respective document separately, which increases the communication clarity and efficiency.
Upload of the Documents
There are two ways to put a document into aMusevity Client Zone. First, a direct upload from your PC (e.g. a PDF file, picture, invoice, receipt, etc.). Second, you can send the document to an assigned email. Ideally, you can arrange with your contractors to send invoices to the email address – the invoices will then be automatically uploaded and you do not have to pay attention to them.
You can find an overview of all receivables chronologically arranged in one place. You can filter or arrange them based on client, payments or due date. If you need to find something quickly, there is a full-text search available, too. The sum line will tell you which business partner is overdue with payment or which one has a higher risk.
Payables and Receivables Detail
The system offers you an option to display detail with each payable and receivable. If you click on the item, detail information about the document, its scan, chat option with an accountant and corresponding payments are displayed.
aMusevity Client Zone provides our clients with a clear overview of their complex accounting year by year.
Each client has an option to set SMS or email notifications to be notified about upcoming payables due date. The advantage is you can set the hour and number of days before or after the due date, when aMusevity Client Zone is supposed to notify you. You can set up to 3 different notifications.
Uploaded Documents Overview
All the documents uploaded into the system (either via sending to the personalised email or your upload) will be displayed to you in the uploaded documents overview. You can therefore easily check the processing status of each of your documents (or use chat to wag your finger at the accountant, if they have forgotten about your document :-)).
Workflow or Document Approval
We have taken everything into account. It is necessary to approve the document before making a payment of any payables. Thanks to this function, it is impossible for your assistant to mistakenly pay an invoice that hasn’t been approved by you.
Where others end, we begin. We are going to constantly improve aMusevity Client Zone for you and we are already working on further improvements.
We know nothing is perfect, but we would like to come as close as possible. With aMusevity Client Zone, we would like to optimise and simplify the whole accounting process. It should ideally look like the following:
The client uploads a document into aMusevity Client Zone (or sends it to their accountant via email).
We register it and put it in the books.
In a predefined period (e.g. 7 days), you receive a notification about upcoming due date of your payables.
You simply open the document in the Client Zone and pay using the QR code or batch payment.
The result of a such set-up process is prevention of missing documents issues. The client does not have to make effort to divide the documents into paid and due.
Is the Client Zone intended to be used by all clients?
Yes. Each client gains access to the aMusevity Client Zone.
What is its usage fee?
All our clients can use aMusevity Client Zone without any charge.
What can I find in the Client Zone?
You can find the complete track of your real-time accounting. You can display a summary of your current payables and receivables by one click and directly pay them any time. You can also gain an immediate overview of the cash and bank account status as well as preliminary profit/loss thanks to the aMusevity Client Zone. You can compare all economic data year-to-year using designated graphs or download your profit/loss account as an Excel file.
Can I communicate with my accountant using the aMusevity Client Zone?
Yes. We have created it so that it provides you with an option to communicate directly with the accountant responsible for the respective document online, using chat.
